Win the work, keep the customer.

Contacts, companies, enquiries, pipeline, quotes, follow-ups and customer service in one shared record, so every conversation with a customer is on file and nothing slips.

Most growing businesses keep their customers in three places at once: an inbox, a spreadsheet and the head of whoever last spoke to them. It works until somebody is off, or leaves, or two people quote the same customer different prices in the same week. CubeCRM puts every contact, conversation, opportunity, quote and case on one shared record, so the whole team can see where each customer stands and what happens next. It is built for UK sales and service teams that have outgrown a spreadsheet and a shared mailbox, but do not want to spend a year configuring an enterprise CRM.

What changes

What CubeCRM is actually for

Features are easy to list and hard to care about. These are the three things that change once it is in.

  • Nobody works from memory

Every customer’s history is on one screen, so a holiday, a sick day or a leaver does not take the relationship with them.

  • Follow-ups that happen

Next steps on every deal and reminders that raise themselves mean promised call-backs and quotes go out when they should, not when somebody remembers.

  • A pipeline you can trust

Forecasts built from real deals at real stages, instead of a spreadsheet updated the night before the sales meeting and argued about during it.

Modules

Everything inside CubeCRM

12 modules on one data model. Turn on what you need now; the rest is already there when you want it, with nothing to integrate.

  • One record per customer, with every contact, site, role and note attached, and a full history of who spoke to whom and when. Multi-site customers are modelled properly rather than split into records nobody keeps in step.

  • Enquiries from web forms, email and the phone land in one queue, get assigned by rule and carry their source with them, so you know which channel produces customers rather than clicks.

  • Every deal at its stage, with value, likelihood and expected close date, on a board the whole team can see. Stages are yours, and moving a deal on is a drag rather than a form.

  • Build quotes from your own price list, send them properly branded, keep every revision against the opportunity, and let the customer accept online. A won quote closes the deal without anybody retyping it.

  • Calls, meetings, visits and tasks logged against the customer, with next steps on every deal and reminders that raise themselves, so a promised call-back happens.

  • Two-way sync with Microsoft 365 and Google Workspace. Emails and meetings file themselves against the right contact and company, so the history is there without anybody copying it in.

  • Build lists from anything on the record, such as sector, region, last order or open quote, and track which campaign an enquiry came from, with consent recorded properly.

  • Queries, complaints and after-sales issues logged as cases against the customer, with owners, priorities and response targets. The salesperson sees the open case before the renewal call.

  • Pipeline value, win rates, activity and response times by person and team, with a forecast built from the deals you have. Scheduled reports arrive by email rather than waiting to be run.

  • Look up a customer, log a visit, raise a quote or move a deal on from a phone, on site or between meetings. The record you update in the car park is the one the office sees.

  • A documented REST API, webhooks on every meaningful event, and connections to Xero, Sage, QuickBooks, Microsoft 365, Google Workspace and Mailchimp. Included, not licensed per connection.

  • Control who sees which customers, deals and fields, with approval limits on discounts and a permanent history of every change: who, what and when.

Fit

Who CubeCRM suits

Not on that list? It describes who we see most often, not who we will work with. Tell us what you do and we will tell you whether it fits.

  • Sales-led businesses outgrowing a spreadsheet
  • Service and trade businesses that quote every job
  • Teams sharing one customer inbox
  • B2B firms where customers deal with more than one person
  • Growing businesses that may need orders and stock later

Getting there

How an implementation runs

No open-ended discovery phase that quietly becomes the project. Five stages, each with a price agreed before it starts.

  1. Discovery

A structured session mapping how you work now - the systems, the spreadsheets and the bits held together by one person’s memory. We come back with what the platform covers as standard, what needs configuration, and what needs building.

  2. Configuration

Your structure, sites, roles, approval chains, document templates and permissions set up to match the business - not a demo tenant with your logo dropped on it.

  3. Data migration

Existing records brought across and reconciled: customers, stock, bills of materials, employees, holiday balances, contracts. We migrate, you check, then we cut over.

  4. Training & rollout

Role-based training so people learn the parts they actually use, with a pilot team first where it makes sense. Documentation and short screen recordings left behind for new starters.

  5. Ongoing support

UK support from the people who built the platform, with a named contact, agreed response times, and a product roadmap you can influence.
