Pay the hours that were actually worked, and know what they were spent on.

Time & Attendance Software

Clock in and out from a phone or terminal, timesheets by project or cost centre, overtime and TOIL rules applied automatically, and a clean export to payroll.

Time recording is where a lot of businesses quietly overpay: rounded-up start times, unrecorded early finishes, overtime rules applied inconsistently, and timesheets typed into payroll from paper. CubeHR captures clock-in and clock-out from a phone with optional location verification, or from a fixed terminal on site, and reconciles the result against the published rota. Overtime thresholds, premium rates, unsocial-hours uplifts and TOIL accrual are applied by rule rather than by interpretation, and time can be booked against projects or cost centres so you can see where the hours actually went.

  • Reconciled

Actual hours checked against the published rota

  • Per job

Labour cost attributed where it was actually spent

  • One export

    Approved hours straight into payroll

What it does

Inside time & attendance software

The parts of CubeHR that make up time & attendance. Everything here shares one data model, so nothing needs re-keying between them.

  • Clock in from anywhere sensible

Phone-based clocking with optional geofencing, a shared tablet terminal for the shop floor, or a fixed kiosk - configured per site or per role.

  • Timesheets by project

Book time against jobs, projects or cost centres so labour cost lands where it belongs. Where CubeERP is in use, it feeds job costing directly.

  • Rules, not interpretation

Overtime thresholds, premium and unsocial-hours rates, rounding rules, break deductions and TOIL accrual applied automatically and identically for everyone.

  • Exceptions surfaced

Late starts, early finishes, missed clock-outs and unexplained variance against the rota flagged for a manager instead of quietly passing through to payroll.

  • Approval before payroll

Managers approve timesheets with the rota, actual times and exceptions side by side, and the approval is recorded against the period permanently.

  • Clean payroll export

Approved hours, overtime, absence and expenses exported in the format your payroll provider expects - no retyping and no reconciliation spreadsheet.

In practice

Problems this actually solves

Anonymised, but not invented. These are the situations businesses describe to us before they change anything.

  1. Paper timesheets typed into payroll

    The situation

A manufacturer collected paper timesheets weekly and had one person type them into payroll. It took two days, generated regular queries, and the paper was the only evidence if anything was disputed.

    What changed

Clocking is captured digitally and reconciled against the rota automatically. Payroll preparation dropped from two days to a couple of hours, and every entry has an audit trail.

  2. Nobody knew what jobs really cost in labour

    The situation

A fabricator knew its total wage bill but had no way to attribute labour to individual jobs, so job costing used an average that flattered complex work and penalised simple work.

    What changed

Operators book time to works orders as they go. Real labour cost per job showed that a supposedly profitable product line was consistently losing money once actual hours were counted.

  3. Inconsistent overtime

    The situation

Overtime was calculated by three different supervisors who each interpreted the policy slightly differently. Staff had noticed, and it was becoming a grievance.

    What changed

Overtime rules are configured once and applied by the system. The variation disappeared, and so did the argument.

How it happens

What implementation actually involves

No mystery, no discovery phase that quietly becomes the project. Five stages, and you will know what each one costs before it starts.

  1. Discovery

A structured session mapping how you work now - the systems, the spreadsheets and the bits held together by one person’s memory. We come back with what the platform covers as standard, what needs configuration, and what needs building.

  2. Configuration

Your structure, sites, roles, approval chains, document templates and permissions set up to match the business - not a demo tenant with your logo dropped on it.

  3. Data migration

Existing records brought across and reconciled: customers, stock, bills of materials, employees, holiday balances, contracts. We migrate, you check, then we cut over.

  4. Training & rollout

Role-based training so people learn the parts they actually use, with a pilot team first where it makes sense. Documentation and short screen recordings left behind for new starters.

  5. Ongoing support

UK support from the people who built the platform, with a named contact, agreed response times, and a product roadmap you can influence.

Questions

The things people ask first

  • Yes. Options include device binding, geofencing so a clock-in must happen at the site, and photo capture at clock-in. Choose the level of control that suits the culture - all of them are considerably better than a paper sheet.

  • Terminals that can post to a REST endpoint or export a standard file can usually be integrated. Bring the make and model to discovery and we will confirm before you commit to anything.

  • TOIL accrues by rule from approved additional hours, appears in the employee’s balance alongside holiday, and is requested and approved the same way - so it stops living in a manager’s notebook.

  • The common UK payroll platforms are supported directly, and a configurable CSV export covers the rest. Tell us who runs your payroll and we will confirm the format during discovery.
